Privacy Policy
Effective May 19, 2026Ephicacy Health Communications, LLC ("Ephicacy Health," "we," or "us") respects the privacy of our clients, partners, and website visitors. This policy explains what information we collect, how we use it, and the choices you have.
Information we collect
We collect information in three contexts:
- When you visit ephicacyhealth.com. We collect basic technical information your browser provides automatically — IP address, device type, browser, pages viewed, and referring URL. We use a small set of analytics scripts to understand how the site is used. We do not use cookies for advertising.
- When you contact us. If you submit our contact form, request a screening call through our scheduling partner (Calendly), or email us, we receive the information you provide — typically your name, work email, organization, and the message you send.
- When you engage Ephicacy Health for services. During a client engagement on the OVYN™ platform, we receive information you and your team upload — brand strategy documents, content, brand guidelines, MLR history, and similar materials necessary to deliver the work.
What we do with it
We use the information we collect to:
- Respond to inquiries and schedule conversations.
- Deliver the services you've engaged us to provide.
- Understand how visitors use our site so we can improve it.
- Send occasional updates to clients and prospects who have requested them. You can opt out of any non-essential communication at any time.
We do not sell personal information. We do not use your data for targeted advertising on third-party platforms.
Service providers
We use a small number of vendors to operate the business. Each has agreed to handle information consistent with this policy:
- Calendly — call scheduling.
- Vercel — website hosting.
- Google Workspace — email and document collaboration.
- OVYN™ — our proprietary AI platform, operated by Ephicacy Health.
Protected health information
Ephicacy Health does not seek, request, or process protected health information (PHI) as part of its standard marketing services. Where a client engagement involves PHI, we operate under a Business Associate Agreement and follow HIPAA-compliant handling procedures specific to that engagement.
Data retention
We retain information for as long as needed to provide the services you've engaged us for and to meet our legal and contractual obligations. Inquiries from prospective clients are retained for up to 24 months unless you ask us to delete them sooner.
Your choices
You can ask us at any time to:
- Tell you what information we hold about you.
- Correct or update that information.
- Delete information that we are not required to keep.
- Opt out of any non-essential communications.

Security
We take reasonable administrative, technical, and physical safeguards to protect information against loss, misuse, and unauthorized access. No system is perfectly secure; we'll notify affected parties promptly if anything material changes.
Changes to this policy
We may update this policy from time to time. The effective date at the top will reflect the most recent change. Material changes will be communicated to active clients directly.
